Submission Process

  1. Documents for IACUC review can be submitted to this link up to one week prior to the next scheduled IACUC meeting: ​IACUC Document Submission​
  2. The IACUC does offer an optional pre-read service for new protocol applications. If the PI is requesting a pre-read of their protocol then they should note the request for pre-read in the comments section of the above submission link.  Pre-reads should be submitted two weeks prior to the meeting date to allow for a thorough review of the protocol.
  3. Veterinary consultation must be involved in the protocol development process if procedures are expected to cause more than momentary pain and/or distress to animals.
  4. Do not begin utilizing animal subjects or collecting data until IACUC review is complete and you have received confirmation of approval

Review and Approval

  1. IACUC Administration performs an initial review of the application and supporting documents to confirm that the application is complete.
  2. If a pre-read is requested, the protocol will be read by the IACUC Chair, IACUC Administrator, veterinarian, or a combination of the above people. Reviewers may suggest revisions to the application or supporting documents and will notify the PI of these recommendations.  The PI can revise the application and submit it back to IACUC ​Document Submission. If the PI does not request a pre-read then this step is not performed.
  3. The protocol is then either placed on the agenda for the next Full Committee meeting of the IACUC or is sent through Designated Member Review process (Note: Type of review is dependent on type of animal use and the associated amount/level of pain and/or distress).  The IACUC may choose to review any submission through Full Committee.
  4. Please allow the following approximate times for protocol reviews:
    1. Designated Member Reviews:  2-4 weeks (longer if revisions are requested during review)
    2. Full Committee Reviews:  3-6 weeks (longer if revisions are requested during review)
  5. When your project is approved, you will receive an approval letter from the IACUC. Your project may commence.  Please note any pending items that may be listed on the approval letter.
  6. IACUC projects are valid for a period of three years from the approval date, and require renewals each year to report on progress and confirm the project is continuing.

Continuing Review and Renewal

  1. Annual continuing review of the project is required for any active IACUC protocol. The IACUC will send out annual renewal notice reminders approximately two months and one month prior to your project anniversary date.  Principal Investigators are asked to complete the IACUC Renewal Form and return to the IACUC in a timely manner to provide the IACUC with a brief summary of the project.
  2. At the end of the three-year protocol approval period, the PI may choose to renew the protocol for another three years (new protocol numbers will be provided). This requires the PI to resubmit a renewal form and updated protocol application packet for review (show documentation of updated training, animal incidents, etc.)
  3. If the protocol expires, all data collection must stop and a new application must be submitted and approved in order to continue the project.
  4. Post-Approval Monitoring is a form of continuing IACUC oversight conducted by a subset of the IACUC and/or IACUC Administration to ensure protocol procedures are carried out according to the written protocol procedures. If your protocol is selected to undergo a Post-Approval Monitoring visit then the PI will be notified and an appropriate day and time will be selected.

Modifications

If you wish to make changes to your protocol, please complete a Protocol Modification Form. If you wish to modify the research personnel (not PI or Co-PI), complete the Research Personnel Addition Form. IACUC approval of the modification is required before the changes to your protocol can be implemented.

Closures

Researchers (PIs) must close out their IACUC protocol once the research project is complete.  The IACUC office sends out reminder e-mails to PIs at 60 and 30 days prior to project anniversary or expiration dates. If you would like to close your protocol you may do so at these intervals (or at any time during the year) by submitting a Project Closure to IACUC ​Document Submission​.​

Unexpected Event Reporting

Any unexpected event that has the potential to adversely affect animal health and/or well-being must be reported to the IACUC within 72 hours.  Unexpected events are reported using the Unexpected Event Form. For animal welfare concerns, please submit the Animal Welfare Concern Form

Hiring A Volunteer

  1. Please contact HR Office and notify IACUC that you plan to hire a volunteer.
  2. Complete any required documentation by HR.
  3. Complete the Volunteer Agreement Form – copy to IACUC and HR.
  4. HR will follow up with all parties to determine next steps.
