The UWSP Risk Management department each April requires information on your fine art, special collections, movable equipment, and borrowed/loaned equipment inventories. The objective is to ensure adequate insurance coverage in the event of a loss.
Specifically we need information on the following types of property:
- Fine art or special collections (for insurance purposes) could be: artwork, special research items, rare works, manuscripts, rugs, antiques, unique musical instruments, or other unique collections with value above and beyond ordinary building content. This does not include ordinary equipment, supplies, and normal building contents.
- Movable equipment is defined as equipment that would leave its home building/location on a regular basis. This may include watercraft, motors, trailers, tractors, front end loaders, lawn mowers, other nonlicensed vehicles, farm equipment, athletic equipment, photography equipment, and designated musical instruments.
- Borrowed/loaned equipment which includes non-university property the university has authorized use of and is expected to be insured under the UWSP property insurance program.
Risk Management obtains capital inventory reports from Purchasing to use in determining insurance coverage. If your department has any of these items that were purchased for $5,000 or more, they should be shown on the capital inventory reports and you will not need to report them. However, any item valued under $5,000 or not on the Purchasing report must be reported. Also, if the value of the item has increased significantly since purchase, you may want to have it appraised or reviewed for a more accurate replacement value (capital inventory reports reflect purchase price).
Please provide the following information:
- Special Collection or Fine Art items of value, but are not included on the UWSP capital inventory, along with the location of where they are stored, and the purchase price or replacement value (which ever is greater).
- Movable equipment that is not on capital inventory, along with the location of storage, and purchase price or replacement value (which ever is greater).
- Value of any borrowed or loaned equipment that is expected to be insured while in UWSP possession.
The Insurance Coverage worksheet may be utilized to document your property. If you have provided this information in past years, simply update your information as necessary and resubmit. Please note that items not reported properly will jeopardize their insurance coverage.
